Subscription & website terms
These terms explain LoneApp business subscriptions and use of this website.
£3 per worker seat per month + VAT. Management-only dashboard access is included. Subscriptions renew monthly; cancellation takes effect at the next renewal.
The subscription provisions below apply when paid access is available and we accept your order. Downloading the app, browsing the website, making an enquiry or taking part in an invited test does not create a paid subscription. Live monitoring requires the company setup and checks described in section 8.
1. Who we are
LoneApp is provided by Safety Inspectors UK Ltd, company number 13332790, registered office 9 River Court, Brighouse Road, Middlesbrough, England, TS2 1RT. VAT registration number GB408516306. Contact: help@loneapp.co.uk.
In these terms, "we" means Safety Inspectors UK Ltd, and "you" means the business that subscribes to LoneApp.
2. Business use only
LoneApp is provided for business use only, including by sole traders. By subscribing, you confirm you are acting for the purposes of your trade, business or profession, and not as a consumer. If you subscribe on behalf of a business, you must have authority to act for it.
3. What the subscription covers
A LoneApp subscription gives your business:
- Worker seats in the LoneApp apps for iPhone and, where available to your business, Android, so each named worker can start monitored activities, check in, and raise alarms.
- The management dashboard is included. Managers who only manage staff do not need a paid worker seat. A manager who also uses LoneApp as a worker needs a paid worker seat once your company is on subscription billing.
Billing and worker-seat assignment are controlled by the company owner. Only the company owner's account can open checkout, change the number of seats, manage renewal settings, and assign or release worker seats.
4. Price
- £3 per worker seat per month, plus VAT.
- Management-dashboard access is included at no extra cost.
- UK VAT at the applicable rate (currently 20%) is added and shown separately. Payments are taken in pounds sterling (GBP) through Stripe; your card details are held by Stripe, not by us.
- A subscription can have between 1 and 10,000 worker seats.
5. Starting a subscription
- The company owner chooses the number of worker seats in Billing & seats and pays through Stripe's hosted checkout.
- The starting number of seats must cover every worker already assigned a seat and every pending worker invitation.
- If a checkout is left unfinished, it expires; a new one can be opened afterwards. While a checkout is open, a second one cannot be started, and the seat count in the open checkout cannot be changed until it expires.
- New accounts created while subscription billing is available need paid worker seats before workers can start activities.
Existing accounts with unlimited trial access. Some accounts created before subscription billing was available have unlimited access to new worker activities without seats. For those accounts only: unlimited access ends when your first payment is confirmed. From that point a paid worker seat is required to start a new activity, permanently, including if the subscription later ends. Opening checkout, or returning from it, doesn't end unlimited access on its own. While a checkout is open, new worker invitations and seat assignments are limited to the number of seats in that checkout; if you leave without paying, unlimited access stays as it was. Activities already running, and alarm responses, are not stopped by this change.
6. Automatic monthly renewal
- Your subscription runs monthly and renews automatically each month for the same number of seats, unless you change the seats or cancel first.
- Renewal payments are taken by Stripe using the card set as the default renewal card. You can update that card at any time through Invoices & payment method.
- Each renewal extends your paid access by one month from the previous renewal date.
- Stripe emails a receipt for each payment to your billing email address. Invoices show our VAT number and the VAT charged, and are also available through Invoices & payment method.
7. Worker seats and how they work
- A worker seat is assigned to a named person by the company owner in the dashboard. A paid seat is required for a worker to start an activity.
- Pending worker invitations also reserve seats, so inviting reserves capacity as well as assigning.
- You can release a seat from one person and assign it to another at any time, at no charge. A seat cannot be released while that person has a running activity or an unresolved alarm — finish or resolve those first.
8. Live monitoring and safety arrangements
Buying worker seats does not turn on live monitoring. The service must first be available for live use, your company must complete the readiness checks shown in the dashboard, and a company-wide manager must explicitly enable monitoring. The checks include your response arrangements, device checks and sufficient paid seats. Where required paid-seat checks cannot be confirmed, live monitoring stays off.
LoneApp supports your own lone-working arrangements. It is not an emergency service or a staffed alarm receiving centre, and does not automatically dispatch emergency services. Your business remains responsible for its risk assessment, suitable devices, staff instructions, reachable responders and escalation arrangements. Responders must assess alarms and act under those arrangements.
Location, warnings and notifications depend on the device, permissions, battery, network and service availability. Fall and inactivity detection can miss an event or raise a false warning. An alarm shown on the dashboard does not establish that an email, text, call or push notification reached a responder or was acted on. Have an alternative way to obtain help. In an emergency, call 999 where possible.
9. Changing the number of seats
Adding seats
- Takes effect straight away, once the payment for the change succeeds.
- You are charged a pro-rated amount for the remainder of the current monthly period for the extra seats. The exact amount is shown for your approval before you confirm, and the preview is held for 5 minutes — after that, preview it again.
- The added capacity becomes available only after Stripe confirms the payment, including any card authentication your bank requires.
Reducing seats
- A reduction is scheduled and takes effect at your next monthly renewal. Your current period keeps the seat quantity you have already paid for.
- Before reducing, you must release assigned worker seats and revoke unused worker invitations so the new total still covers everyone. A scheduled reduction immediately caps how many new seats can be assigned.
- A scheduled reduction can be undone before the renewal (see section 11).
- Reductions are not pro-rated.
If a payment for a pending change is incomplete, that must be resolved before another renewal change is made.
10. Cancelling and refunds
- You can cancel at any time; cancellation takes effect at your next monthly renewal. Your paid access continues to the end of the monthly billing period you have already paid for, then ends. Section 14 explains when you can cancel from an earlier date.
- Until the paid period ends, you can change your mind and choose Keep subscription renewing, and the subscription continues monthly as before.
- If a seat reduction is scheduled for your next renewal, cancelling replaces it. You confirm this in one step. Nothing more is charged: the subscription ends at that same renewal, and your current paid seats continue until then. If you later choose Keep subscription renewing, it renews at your current seat quantity; schedule the reduction again if you still want it.
- Refunds. We do not give routine refunds for unused time in the current paid month, whether you cancel or reduce seats. This does not affect the refund described in section 14 if we remove a core monitoring feature, refunds for billing errors, refunds required by law, or refunds we choose to give as a goodwill gesture.
- Cancelling renewal, deleting a personal account and closing the company account are separate actions. Deleting a personal account does not itself cancel the company subscription. See the app and dashboard privacy notice for the available request routes and handover arrangements.
11. Undoing changes
- A scheduled seat reduction can be removed before the renewal, restoring your current seat quantity at renewal.
- A cancellation can be reversed before the paid period ends, as described in section 10.
12. If a payment fails
- If a renewal payment fails, your subscription shows as needing attention in Billing & seats, with a link to pay the outstanding invoice, and Stripe retries the payment.
- You have a 7-day grace period after your paid period ends: during it, your paid seats keep working. If the payment is still overdue after those 7 days, starting new activities is paused.
- Billing restrictions do not disable existing activities or alarm responses. Activities already running continue, and alarms, escalation and responder notifications keep operating under your company's normal monitoring settings. They remain subject to the same limitations as at any other time — for example, notifications depend on phone, network, email and SMS delivery, which no service can guarantee.
- If you have requested cancellation, the grace period does not extend it: your access ends at the end of the paid period as normal.
- A scheduled seat reduction still takes effect at its renewal even while a renewal payment is being retried; the reduced limit applies at that point.
- To fix a failed payment, pay the outstanding invoice, or open Invoices & payment method and choose Make default on the card you want used for future renewals. Paying an invoice with another card may not change the default renewal card.
- Check Billing & seats for your payment status. Use the status shown after the dashboard has connected and updated. If a card payment fails, Stripe also emails your billing contact a link to a secure Stripe page where the payment details can be updated. Don't rely on receiving that email.
13. Data protection
- Your business is the controller of your workforce's data in LoneApp; we process it to provide the service on your instructions. Our own customer, billing and support records are controlled by us. See the app and dashboard privacy notice for details, including how to make a rights request.
- Billing references (Stripe customer and subscription identifiers, seats and billed periods) are kept for accounting; card details are never stored by LoneApp.
- Your business must tell its workers about the monitoring it uses, establish a suitable lawful basis, and limit information to what is needed. Separate agreed data-processing terms and documented instructions govern our processing for your business. This privacy notice and these subscription terms do not, by themselves, record acceptance of any separate standing deletion instructions.
14. Availability and changes
- We aim to keep LoneApp available at all times, but we don't guarantee uninterrupted or error-free service and don't offer a service level or uptime commitment.
- We may carry out maintenance and updates. Where we can, we do this at quiet times and tell company owners in advance about planned work that is likely to affect monitoring.
- We may change features. We won't remove the core monitoring features (activities, check-ins, alarms and escalation) during a paid period without giving the company owner at least 30 days' notice. If we do remove one, you can cancel with effect from the date of the change, and we'll refund the part of your paid period that remains after that date.
15. Suspension
- We may suspend or restrict access if it's needed to protect the service or other customers (for example, during a security incident), if the service is being used unlawfully or to harm someone, or if the law requires it. Non-payment is handled only as described in section 12.
- Safety first: during a suspension or restriction, we use reasonable efforts to keep running activities, alarms, escalation and responder notifications working, where it is lawful, safe and technically practicable to do so.
- We tell the company owner, as soon as we reasonably can, what has been restricted, why, and whether monitoring is affected, so that your business can put alternative safety arrangements in place for the workers concerned.
16. Questions and disputes
Questions about your subscription: help@loneapp.co.uk. These terms are governed by the law of England and Wales. Nothing in these terms excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
17. Using this website
The pricing calculator provides an estimate. It does not place an order, reserve seats or take payment. Checkout shows the amount before you confirm an available purchase.
App and dashboard previews on this website are demonstration images. Viewing or clicking them does not start an activity, monitor anyone or contact a responder.
The enquiry form prepares an email in your own email application. Preparing or copying that message does not send it. You decide whether to send it.
You may use this website to evaluate LoneApp. Do not attempt unauthorised access, interfere with the website or use it unlawfully. External websites have their own terms and privacy information.
18. Contact
Email help@loneapp.co.uk or telephone 0330 1226 337 for business enquiries. These are support contacts, not emergency response channels.
